1. Introduction
This Terms of Service and Privacy Policy Agreement regulates user utilization of the GabayKarera system and establishes the principles for collecting and processing personal information from users. When users register for or use GabayKarera, the users agree to comply with the terms of this agreement. GabayKarera is an educational project of the College of Computer Science and Information Technology (CCIT) in Adamson University, intended to assist in mentorship and career development for students and professionals.
2. Purpose of the System
GabayKarera is a web-based artificial intelligence (AI) mentorship system specifically designed to facilitate connections among CCIT students at Adamson University and various industry professionals, alumni, and senior students. GabayKarera’s main goal is to provide students with enhanced career readiness as well as a structured method to access mentor interaction modeled on real-world interactions to facilitate professional guidance and collaboration.
3. User Eligibility
The system is accessible only to individuals who are eighteen (18) years of age or older. Eligible users include CCIT students, mentors in the IT industry, alumni, and senior students endorsed by the institution. By signing up for the system, you affirm that you meet the eligibility requirements and agree to use the system exclusively for mentoring and educational purposes.
4. Account Registration and Responsibilities
To utilize the system's features, users are required to create an account. During the registration process, users must provide accurate and honest information. Users are responsible for maintaining the privacy and confidentiality of their login credentials. Users are responsible for all activity that occurs under their accounts. User accounts are subject to deactivation or restriction for excessive inactivity, in cases of misconduct, or violation of these terms.
5. Mentorship Sessions and Conduct
Mentors and mentees are expected to follow the session times they agree on through the system. If you have a confirmed session booked in the system, mentees are discouraged from cancelling but can reschedule it with a valid emergency or issue. Users are expected to inform of changing plans in a timely and respectful manner. Both parties should conduct themselves professionally, kindly and ethically, while in GabayKarera. If there is any harmful behavior, harassment, or improper use of the site, the user's account may be suspended or terminated altogether.
6. Session Recording and Monitoring
For purposes of quality assurance, accountability, and documenting research, GabayKarera reserves the right to record mentorship appointments when utilizing the system’s built-in video call functionality. The recordings may only be utilized for evaluating the system, improving services, training, or observing its function as part of the University’s mentorship and quality assurance program. All recordings will be treated as confidential and will only be accessible to authorized developers and supervising faculty. Participants in mentorship sessions indicate their understanding and consent to having their sessions recorded, stored, and reviewed as described herein. Participants cannot distribute, copy, or use any recorded material without authorization.
7. Information Collected
GabayKarera gathers relevant personal and educational details that are necessary for running the platform and its functionalities. Information collected helps ensure that a user is able to be matched to a prospective study basis AI, build an exceptional user experience and improve the efficacy of the learning process. For Mentors:
1) Full name, email, profile photo, gender, contact information
2) Bio/summary
3) Education, certifications, current role/company, years of experience
4) Uploaded documents (resume/CV, cover letter) containing personal details
5) Availability: preferred hours, session slots, rescheduling preferences
6) Verification (if applicable): credential/ID type, masked details, status, verification dates
For Mentees:
1) Full name, email, profile photo, age, contact information
2) Education: school, program/major, graduation year
3) Experience level, current skills, target skills, interests
4) Career goals and target roles/industries
5) Ratings given, written reviews, survey responses
Additional Information (for both mentors and mentees):
1) Resume or Professional Profile
2) Skill Sets and Areas of Expertise

8. Data Collection Method
All personal information is collected directly from users through registration forms and the completion of profiles in the system. GabayKarera will not use unauthorized means of data collection and will comply with institutional and ethical standards when partaking in the collection of user information.
9. Purpose of Data Collection
Data that is collected is used primarily to help in enhancing AI-based mentor-mentee pairing, and to enhance the quality of mentorship engagements. Data may also be used for communication, analytics, and research purposes that serve to enhance the performance of the system and the user experience.
10. Data Sharing and Third-Party Services
GabayKarera generates combine usage with selected third-party services to help its function, namely: Pusher for real-time messaging; Dialogflow for chatbot interactions; and Agora API for video conferencing. These services may have access to limited data from users only when necessary for the particular service functions and otherwise in accordance with their applicable privacy policies. GabayKarera does not share or sell personal information to any unauthorized third-party service.
11. Data Protection and Security
The use of secure protocols and encryption methods protects user data from unauthorized access, modification, and misuse. Passwords and other private information are stored securely; only authorized personnel directly associated with the management and supervision of the system can access user information.
12. User Rights
Users have the right to inspect their saved data. However, users do not have the ability to edit or remove their accounts to keep the integrity of the research record. Additionally, users may have their account deactivated by system administrators if the account has been inactive. 13. Limitation of Liability
The developers or those responsible for administering or supervising GabayKarera, will not be responsible for or liable (civil or criminal) to any user for any loss, damage or disturbance resulting from user's inappropriate use of the system, interruption of service, or unauthorized access. The system is provided "as is" and has no guarantee, either expressed or implied. The user understands that participating in the system is voluntary and assumes responsibility for their use of the system's features.
14. Amendments to the Terms and Privacy Policy
The GabayKarera development team maintain the right to amend this Terms of Service and Privacy Policy at any time to reflect the updates to the system or institutional needs. Each User will be notified about major changes through their email address entered into the platform. Users are advised to review the privacy policy from time to time. A User’s continued use of the platform demonstrates acceptance of the update.
